Many educational institutions are still reliant on paper and manual processes which are frustrating for both the students and staff members, especially if forms have to be filled out multiple times. These manual processes can also leave vulnerable student data to risk of theft or loss and can open the institution up to fines for violating federal regulations such as the Family Educational Rights and Privacy Act (FERPA).
The Gnomon School of Visual Effects Games and Animation is an educational institution dedicated to preparing students with the technological skills needed for careers as visual effects artists in the entertainment industry. Historically, administration staff relied on manual processes to register students. Paper forms would often have to be filled out and processed multiple times, leading to hours of productivity loss and keeping track of student records was difficult for staff. As an institution dedicated to teaching students how to maximize new technology, staff knew it was time to “practice what they teach” and look into solutions to automate and digitize student registration.
Gnomon administration staff found their solution through Imagetek, Digitech Systems reseller. They implemented PaperVision® E-Forms, to create an electronic registration system that directly sends information into ImageSilo, a cloud-based Enterprise Content Management (ECM) system. They were able to reduce record retrieval times, ensure all records are secure and track students from admission to graduation.
